What needed
solving
A Romanian online education provider was taking an average of 3 business days to fully onboard a new student after enrolment payment — creating the Moodle account, assigning course modules, sending the welcome pack, generating the study schedule, and confirming payment. With 200+ monthly enrolments and a lean admin team, delays were common, negative first-day experiences were generating support tickets, and some students were requesting refunds before their access had even been activated.
What we built
We built an enrolment-triggered automation that fires immediately on confirmed payment. The Moodle account is created and the correct course modules assigned within 60 seconds. A personalised welcome email containing login credentials, the study schedule PDF, and a getting-started video link is sent automatically. A Slack notification goes to the student's assigned academic support contact. If any step fails, the admin team is alerted via Slack with a one-click manual override option.
