What needed
solving
A Milan-based law firm was managing 400+ active client contracts stored across a shared drive with no centralised expiry tracking. Renewal reminders were maintained in an Excel spreadsheet updated manually by a paralegal. The firm had already experienced two instances where client contracts lapsed without renewal — one resulting in a dispute. The managing partner identified contract lifecycle management as a critical operational risk.
What we built
We built a contract intelligence system that ingests PDFs from the firm's shared drive, extracts key dates, parties, and renewal terms using an AI document reader, and maintains a live contract register in a structured database. 90, 30, and 7 days before each contract's expiry or renewal window, automated notifications are sent to the responsible partner with a context brief and one-click actions to extend, flag for review, or archive. The system also generates a monthly contract status report for the partners' meeting.
