What needed
solving
A UAE medical clinic group operating four sites was experiencing a 28% appointment no-show rate, costing the business an estimated AED 35,000 per month in lost appointment revenue and wasted clinical time. Appointment confirmations were sent manually by reception staff, reminders were inconsistent across sites, and follow-up care instructions were sent only when reception had time. A patient satisfaction survey identified appointment communication as the top pain point.
What we built
We built a full appointment communication automation layer integrated with the clinics' existing booking system. Patients receive an instant WhatsApp confirmation on booking, a 48-hour reminder with a one-click confirmation or reschedule link, a 2-hour day-of reminder, and automated post-appointment follow-up instructions tailored to the appointment type. Patients who do not confirm their appointment 24 hours in advance are flagged to reception for a manual call. No-show data feeds back into the system to optimise reminder timing.
