What needed
solving
A fast-growing tech company operating across Dubai, Bucharest, and Milan was taking an average of 2 full working days to fully onboard a new hire — setting up accounts, sending welcome documentation, creating Notion workspaces, assigning Slack channels, and scheduling first-week meetings. With 8–12 new hires per month, HR was spending over 25% of their time on administrative onboarding tasks, and new joiners were frequently reporting a poor first-day experience due to missing access or documentation.
What we built
We built TalentFlow, a trigger-based onboarding automation that fires when a new hire is added to BambooHR. The system automatically creates the Slack account with correct channel assignments, generates a Notion workspace from the role-specific template, sends a personalised welcome email with a first-week guide, creates Google Calendar events for all orientation sessions, and posts an introduction message to the team channel on day one. Market-specific variations (Dubai/Romania/Milan) are handled via conditional logic.
